Data Request Procedure
Send a request from the email tied to your Cloud account. Prosewire verifies scope and identity before disclosing or deleting data.Use this procedure for personal data handled by prosewire.com or Prosewire Cloud. A self-hosted deployment has its own operator. Send a request about that deployment to the site or organization that runs it.
If your request concerns a post, author profile, invitation, or reader data controlled by a Prosewire Cloud customer, contact that customer first when practical. Prosewire will assist the customer as its processor.
Send a request
Email privacy@prosewire.com from the address linked to your account. Use one of these subject lines:
- “Data access request”
- “Data correction request”
- “Data deletion request”
- “Data portability request”
- “Data restriction or objection”
- “Privacy appeal”
Include your name, account email, country or state of residence, the right you want to exercise, and the workspace or publication involved. Describe the data precisely enough to find it. Do not send your password, session cookie, management key, identity document, or a full content export in the first email.
A workspace-deletion request must come from a current owner. Name the workspace and each publication you expect the request to cover.
Verification
We match the request to account and workspace records. We may ask you to confirm through the account email or provide limited additional information. If the risk is high or the email is unavailable, we may use another proportionate method.
An authorized agent must identify the person, show authority to act, and complete any verification allowed by applicable law. We verify only what is necessary and delete extra verification material after the request closes, subject to the request-record retention period.
Timing
We aim to acknowledge a request within seven days and complete it within 30 days. Applicable law may set a different deadline or allow an extension for a complex request or multiple requests. If we extend the response, we will explain why and give a new date.
We normally do not charge a fee. We may charge a reasonable fee or refuse a manifestly unfounded or excessive repeat request where law allows it, after explaining the decision.
Our response
We will state what action we took. An access or portability response uses a commonly readable electronic format when practical. We use a secure delivery method and may split credentials or links across channels.
Rights are not absolute. We may withhold data that would disclose another person’s information, compromise security, reveal a protected confidence, interfere with legal rights, or violate law. We may retain a narrow record despite deletion when required for tax, fraud prevention, security, legal claims, or proof that we honored the request. We will explain a denial or limitation unless law prevents it.
Deleting a Cloud account does not automatically delete public copies made by search engines, archives, subscribers, embeds, or other third parties. It also does not delete an organization’s content merely because one member leaves. The Deletion and retention policy explains these distinctions.
Appeal and complaints
Reply with “Privacy appeal” and explain why you believe the decision is wrong. A different review will be used when practical. We aim to answer an appeal within 30 days.
You may also complain to the data protection or consumer privacy authority that covers your location. You do not need to waive that right to contact us.
Business customer requests
A business customer seeking help with a request about Customer Personal Data should include “DPA assistance” in the subject, identify the workspace, state the applicable deadline, and describe the requested search or action. Do not email the underlying personal data unless we agree on a secure transfer method.
